Maximally optimized – digital expense process for the entire foundation group

The Foundation for the Promotion of Health operates under the following mission statement: «We focus our work on the individual and their health. We establish and lead non-profit institutions, conduct utility-oriented research for the future, and actively promote the development of health locations in Zurzach and Baden.»

Initial Situation

The companies within the foundation group compete in various business fields across several cantons in German-speaking Switzerland. They employ not only commercial staff but also medical professionals, fitness instructors, and experts from various technical backgrounds. Previously, expense receipts for all companies were filled out on paper forms, submitted to supervisors for approval, and then sent via internal mail to the HR department for payment. The entire process was very time-consuming, prone to errors, and lacked transparency. It was obvious that a digital expense solution offered significant potential for optimization.

The Solution

Thanks to edi’s artificial intelligence, our integrated expense regulations, and the connection to Google Maps, employees are supported in processing cash or mileage expenses in no time—all according to regulatory requirements. The different guidelines for employees, executives, and the various foundation companies were successfully incorporated and implemented. Inspired by the possibilities with edi, the HR Development department decided to digitize education and training expenses in addition to the existing project. This addition was implemented using the "Request" add-on, which allows everyone involved in the workflow to maintain a clear overview of the available training budget and the actual expenses incurred.

The Project

The project launched in mid-October 2022. After one month, the expense tool was introduced for a three-month pilot phase with a diversified group of employees. This allowed for continuous feedback collection and immediate optimizations. In March 2023, edi was rolled out to all employees. Thanks to the professionally managed pilot phase, expenses could be processed digitally from one day to the next. Short instructions and Q&A sessions were provided as assistance. The majority of employees found their way around the intuitive edi tool independently and immediately.

Katja Tamasco, Project Manager, and Nicole Knecht, Head of HR Service Center at the Foundation for Health Promotion, are enthusiastic: «Thanks to the diverse reporting functionalities, we can practice active controlling and use the resulting insights to further develop our expense regulations and other benefits. The investment has definitely paid off and amortized within a very short period. But the most important thing for us is that the employees are very satisfied and can use the newly gained time for value-adding activities.»
